Business Meeting Minutes

November 7, 2003

I.                    Welcome address by Ellen Hall, Library Director, Kreitzberg Library who provided a brief history of the University, which is a military academy, and of the Library. 

 

Business Meeting :

 

II.                 The Meeting was called to order by Norma Phillips  at about 10:15 a.m.

 

 

III.               Minutes: Spring Meeting 2003 were approved.

 

 

IV.              Treasurer’s Report:   The beginning balance as of May 1, 2003 was $7046.61.  After expenses related to the Spring meeting were covered and after receipt of new memberships, the current balance is $4192.36

 

 

V.                 Reports from Committee Coordinators:

 

Administration Committee: 

Norma Phillips reported that the ByLaws Committee prudently waited to determine the viability of HSL-NH/VT before beginning restructuring of the By-Laws.  Since it seems we continue to fulfill most of the duties of an organization, the committee will begin to review the By-Laws to see what modifications need to be made to them.  This is a significant task.  The goal is a draft copy for the Spring meeting.

 

           

Katie Doherty distributed BHLS statistics and continues to fulfill this responsibility for the bi-state group (for which we are grateful). 

Archives:  Norma reported that the archives have been reorganized and will be housed at the Littleton Hospital.  She also brought some wonderful archival photographs to the meeting today to share with members.

 

 

Finance Committee:

 Bev Greene was not present.  Brenda Birck reported and distributed a revision of the HSL-Resource Sharing List.  Any errors or changes should be reported to Bev : BEG@phin.org.  It was noted that 2004 membership forms were included among the day's handouts.

Scholarship:  Marty Fenn reminds members that there is scholarship money available and to contact her (mfenn@bmhvt.org) for applications and information.

 

 

 

Program & Education Committee: 

Sam reported on the planning of today’s event.  She thanked those who had helped smooth out the details and assisted in registration, and thanked EBSCO representatives for their part in the planning of the event.  She asked those present to please fill out a spring planning sign-up & worksheet.

 

    

           Communication Committee:

           

           

                       Claire reiterated a recent message to the listserv to the effect that Linda    

           McCracken has recently resigned as Coordinator of the Communications

           Committee.  She had stepped forward at the Spring Planning meeting to help head  

           the committee and can no longer continue in that capacity.  In other matters, Alice

          Reed continues to manage the Listserv, keeping it updated.. Alice gave a short

          report regarding the Listserv and invited feedback regarding the idea of an Open or

          Closed Listserv.   Maureen (Breslin) Dunn has updated the HSL website, which

          can be found at: http://library.umassmed.edu/hslnhvt/

 

 

VI.              Guest: Javier Crespo, Associate Director of the National Network Libraries of Medicine/New England Region office, announced that planning has started for a NH/VT Electronic Document Delivery Project similar to the Maine Ariel project.  He distributed a handout with basic information and contact information for those libraries that may be interested in participating.  Written information as requested on the handout should be sent to Javier by December 15.  Please see website for contact information: http://nnlm.gov/ner/contactus.html

 

Javier indicated that the NER office has assigned staff to liaison with each of the New England State.  The liaison for NH & VT is Michelle Eberle, also the new Regional Consumer Health Coordinator.   Javier also discussed briefly the new DOCLINE version 2.0, yet to be rolled out.

 

 

VII.            Nancy Bianchi gave a report from UVM, one of our Resource Libraries.  Several hospital libraries, together with AHEC, are sponsoring upcoming classes.  Nancy extended an invitation to all to attend a class on Consumer Health Information Searching on November 21st to be held at the Fletcher Free public library in Burlington, VT.

 

 

VIII.         Program: Presentation by EBSCO representatives: Ronna Archbold,  John Hart, Anne Murdock, Jerry Welshoff.  Included features of their fulltext databases, their Enhanced Electronic Journal Service (EJS), the A-Z Journal Service.  Contact for more information: rarchbold@epnet.com or 800 653-2726, X 512

 

 

IX.              Lunch (courtesy of EBSCO) and tour of the Kreitzberg Library by Greg Sauer, Librarian at Kreitzberg.

 

Note: The Communication Committee members held an informal meeting during the lunch hour.  See notes from that meeting for full report.   Cynthia David offered to assume role of Communication Committee Coordinator.  Anne Conner indicated an interest to work with Sam on Programming/Education , and will join that Committee.  Jona Bostwick, a new member to HSL, has joined the Communication Committee.  The Committee discussed its tasks and roles.

 

 

X.     Consortia Reports:

 

            Brenda Birck gave the report from the Southern NH Health Sciences Libraries

Consortium.  That group made the decision not to continue maintaining a list of “holder of record,” as there are other access options, in particular, online.  Martha Roberts’ position at the V.A. Hospital in Manchester has been filled by Jona Bostwick.  Katie McDonough, formerly from the NH State Library  is now Librarian at the Kimball Public Library, in Atkinson.

 

Linda Ford reported for the North Country Consortium.  Linda later followed up via a posting to the listserv with copies of the Minutes from their June and August meetings.

 

GeeGee Zaveson and Phyllis Campbell of North Country Hospital, Newport, VT., presented a history of transferring the library catalog from a DOS-based system to an Access database product with the help of her IS staff.  An AHEC grant supported the project by providing funds for Phyllis to enter the catalog records into the new system.  After some refinements, the product is working well.  She indicated that if members are interested in purchasing the database as designed, a fee of $500 is being considered.  This would provide a basic searchable catalog system for entering your library records.  Contact GeeGeeJ at gzaveson@nchsi.org or at 802 334-3256.
